Free church volunteer schedule template
This free church volunteer schedule template is a four-week serving rotation spreadsheet: one row per position per Sunday, with a volunteer, a backup, a confirmed column and a place to note blockout dates. It opens in Excel, Numbers or Google Sheets, and you can use it without signing up for anything.

What is in the volunteer schedule template?
The spreadsheet has one row for every position you need filled on a given Sunday and service, with these columns:
| Column | What it is for |
|---|---|
| Date and Service | Which Sunday and which service time the slot belongs to |
| Team and Position | For example Welcome → Greeter (front door), Kids → Nursery lead, Tech → Sound, Worship → Keys |
| Volunteer, Phone, Email | Who is serving and how to reach them |
| Backup | Who covers if the volunteer can't |
| Confirmed (Y/N) | Whether the volunteer has said yes |
| Blockout noted | Whether you checked their unavailable dates before scheduling |
| Notes | Anything the team lead should know |
Sample teams (Welcome, Hospitality, Kids, Tech and Worship) are filled in for four Sundays so you can see the shape. Replace them with your own.
How do you use it to build a serving rotation?
- Ask for blockout dates first. Collect the Sundays each volunteer can't serve before you fill anything in.
- Fill the hardest positions first (usually kids and worship), then the rest.
- Spread the load. Most volunteers can serve one or two Sundays a month without burning out; avoid scheduling the same person every week.
- Name a backup for every slot, so a Saturday-night cancellation has an answer.
- Publish it at least two weeks ahead and mark each slot confirmed as people reply.
Our guide to building a serving rotation people don't burn out on goes through each step in detail.
When does a spreadsheet stop being enough?
A spreadsheet works well for one or two teams. It gets hard when swaps happen by text message, when nobody can see the latest version on a phone, or when the same few people end up serving every week. That is the point where churches move to scheduling software such as Churchory Sunday, which collects availability, fills rotations with per-person limits and lets volunteers settle swaps themselves.
Questions about the volunteer schedule template
Is this church volunteer schedule template really free?
Yes. Download it, change it and share it with your teams; there is no sign-up and no email required.
Will it open in Google Sheets?
Yes. It is a plain CSV file, so it opens in Google Sheets, Excel and Numbers. Delete the first comment line before you import it anywhere else.
How far ahead should a church publish its volunteer schedule?
Two to four weeks ahead works for most churches. It gives volunteers time to swap and gives you time to fill gaps before Saturday night.
